The objective of the project was to identify and address existing operational inefficiencies within Brisbane Airport’s facility management operations. Aspire FM aimed to develop clear and effective process workflows aligned with the intent of the new FM contract. The project also focused on improving data integration, enhancing contractor performance tracking, and increasing reporting accuracy. Additionally, Aspire FM established operational frameworks for asset handover, corrective and reactive maintenance, and spare parts management to reduce engineering downtime.
Scope of Works
- Work with various stakeholders in the process and address the issues at hand
- Review all relevant information and data sets taken from various systems and sources.
- Engage with all key stakeholders of the process to better understand their issues and suggested areas for improvement
- Arrange and facilitate workshops involving all stakeholders
- Develop action plans and prioritise the suggested areas for improvement
- Structure flow diagrams relating to key matters
Results
Aspire FM delivered the following results:
- Workflow Optimisation: Introduced new CM workflows that clarify priority handling, improve fault response, and integrate with contractual KPIs.
- Contractor Governance: Developed tools and templates to audit and evaluate contractor data quality, job performance, and cost transparency.
- CMMS Utilisation: Recommendations for System API integration to streamline live updates, improve response time logging, and centralise compliance data.
- Spare Parts Strategy: Identified missing inventory controls; proposed site-based stock management.
- Asset Lifecycle Management: Embedded life cycle forecasting into work order processes for improved capital planning.

In large-scale infrastructure environments like airports, streamlined facility management processes are essential for maintaining operational efficiency, safety, and compliance. Aspire FM was engaged by Brisbane Airport Corporation to assess and enhance their Facility Management (FM) processes and procedures as part of a broader contract transition. The aim was to eliminate operational inefficiencies, align workflows with new contractual requirements, and optimise performance tracking and data integration across FM systems.
This case study outlines the collaborative and structured approach taken by Aspire FM to analyse existing workflows, engage stakeholders, and facilitate practical improvements across multiple operational areas. From corrective maintenance handling to contractor governance and spare parts strategy, the project resulted in clearer process flows, enhanced CMMS utilisation, and strengthened asset lifecycle planning -ultimately positioning Brisbane Airport Corporation for improved performance, reliability, and future scalability in its facilities operations.
